7 booked. 26 came.

Phystral is the record for gyms, studios and outdoor class clubs. Memberships, bookings, attendance and collections stay attached to the same people. Payouts land in your Stripe or GoCardless account. The member app is published in your name.

Booked and attended stay separate

The list said seven. The park had twenty-six.

A register that only knows who booked will under-count the grass, the studio and the money. Phystral writes late arrivals and walk-ups onto the same session, while the instructor still has the phone in their hand.

Today

The morning, before anyone argues with a spreadsheet.

Upcoming sessions, what is due, what failed, and a split of active memberships by the categories the club actually uses. A single “132 active” is not enough.

Participant headcount is not the same number as paid contracts. Family plans make that obvious.

Money

Three different things. Never one status.

A membership, a collection and your Phystral subscription are different lifecycles. Mixing them is how a dashboard stops matching the bank.

01

The membership

What the person bought. Access, caps, term, holds, cancellation. A hold shows its effect before anyone confirms it.

02

The collection

How that obligation is settled, on the club’s own Stripe or GoCardless account. A pending mandate is visible as pending.

03

The software

What the club pays Phystral. A separate invoice. No percentage of member collections, and processor fees shown as the processor shows them.

  • Failed payments, missing methods, travel, holds and written-off debt stay distinct.
  • Retries do not chase someone whose mandate is revoked or whose contract has ended.
  • Apple Pay and Google Pay appear when hosted card checkout actually supports them.
  • A forecast of what is due is not the same view as a payout that has reached the bank.

Households and parks

One payer. Several people. Several parks.

Paying for someone, booking for them, and signing for them are separate permissions. A child can have a participant record without an email or a login. An adult agrees before another adult acts for them. Health answers are not opened just because someone pays the bill.

A second site is not a higher plan. The same adult price can apply at every park, and sales, attendance and membership reports still split by location.

Member apps

Published as the club. Included in the price.

Members book, buy, sign the current waiver, update an emergency contact and switch participant on a family account. The iPhone and Android apps carry the club’s name, colours and icon, and they are listed under the club’s own publisher accounts.

Push can go now or on a schedule. Lock screens stay neutral: no health answers, no debt. Store review belongs to Apple and Google. We will not promise you an approval date, and developer-account fees stay disclosed on their own.

Messages

Quiet, until the club says otherwise.

The messages that keep a booking or a payment honest are on. The ones that nag a regular into cancelling are not.

On

  • A payment failed
  • A payment method is missing
  • A booking was confirmed or cancelled
  • A waitlist place opened
  • A session changed for the people on it

Off, until you switch them on

  • Birthday notes
  • “You are slipping away”
  • Any promotional send
  • At-risk mail that sends itself
  • A blast to every member by accident

Promotional messages check consent at the moment they send. A cancellation goes to the people booked onto that session, not to the whole database. Email can carry the club’s logo, colours and pictures, with a test send before it leaves. If a visit pattern really drops, staff can see a flag and silence it. The flag never writes to the member on its own.

Founding clubs

Bring the register that does not match the grass.

Phystral is opening with a small number of UK class clubs: a studio, or several parks under one membership. If the timetable, the bank and the headcount disagree, start a conversation.
